Artificial Intelligence (AI) Policy

This Artificial Intelligence (AI) Policy (“Policy”) supplements and forms an integral part of the Engagement Letter (and any accompanying Standard Terms of Engagement) between Ashbury Legal PC (“Ashbury Legal,” “the Firm,” “we,” “us,” or “our”) and our clients (“Client,” “you,” or “your”) regarding legal services.
As a modern legal practice, Ashbury Legal may leverage advanced technologies, including Artificial Intelligence (“AI”) tools, to enhance the efficiency, accuracy, and quality of our legal services within the scope of work defined in your Engagement Letter. This Policy outlines our approach to AI usage and related data privacy considerations in your legal matters.
Our Use of AI
Ashbury Legal is committed to the ethical, responsible, and secure integration of AI technologies and tools to support our legal practice. Our AI use always aims to provide high-quality legal services and is subject to strict safeguards.
- Augmentation of Services: In furtherance of the legal services outlined in your Engagement Letter, we may use AI tools for:

- Efficiency & Potential Cost Benefits: AI tools enhance efficiency, potentially leading to streamlined processes and enhanced value. However, AI use does not reduce attorney fees for services requiring independent professional legal judgment.
- Human Oversight & Professional Judgment: AI tools assist our attorneys; they never replace independent professional legal judgment, critical thinking, or ethical decision-making. All AI-generated content is thoroughly reviewed, verified, and approved by a licensed attorney before use in your matter or provided to you.
- Client Confidentiality & Data Security: Supplementing the confidentiality provisions in your Engagement Letter, we protect your confidential and privileged information when using AI tools:
- We select tools meeting stringent data security and privacy standards (encryption, access controls, confidentiality agreements).
- Confidential information is processed only by approved AI tools under secure conditions; it is not input into public or unapproved models.
- Where feasible, we may de-identify or anonymize data to protect your privacy.
- No Training on Client Data for General Models: Your confidential information from legal matters will not be used to train publicly available or general-purpose AI models. Our AI tool configurations ensure your data remains confidential and is not used to improve or develop AI models for others.
- Firm’s Commitment to Ethical AI Use: Ashbury Legal adheres to a comprehensive internal AI policy, committed to using AI tools responsibly, fairly, and without bias, aligning with our professional ethical obligations and legal standards.
- Transparency: Upon request, we can provide information on the types of AI tools utilized in your matter, consistent with professional obligations and proprietary technology.
- Intellectual Property & Work Product: All work product generated by the Firm, including that which has been assisted by AI tools, remains the intellectual property of the Firm, or shall be owned by you as stipulated in your primary Engagement Agreement. Our use of AI tools does not alter the ownership of the final work product provided to you.
Client's Responsibilities Regarding Data for AI Use
In addition to your general responsibilities outlined in the Engagement Letter, you acknowledge and agrees to the following regarding data provided for use with AI tools:
- Accuracy and Completeness of Data: You are responsible for providing accurate, complete, and timely information to the Firm. The effectiveness of AI tools in assisting with analysis, research, or drafting relies on the quality of the input data provided by you.
- Lawful Provision of Data: You represent and warrant that any data, documents, or information provided to the Firm for use in connection with AI tools (or otherwise) is lawfully obtained and does not infringe upon any third-party rights (including intellectual property or privacy rights) or violate any applicable laws or regulations.
Data Privacy & Protection
This section provides further detail on our privacy practices as generally referenced in your Engagement Letter. We protect your personal and confidential information in compliance with applicable data privacy laws. - Information We Collect: We collect information necessary to provide legal services, fulfill contractual obligations, and comply with legal/ethical requirements (e.g., personal data, financial information).
- How We Use Your Information: Your information is used solely for providing legal services, managing client relationships, and complying with legal/regulatory obligations.
- Information Sharing: We will not share your confidential information with third parties except as necessary for legal services (e.g., co-counsel, experts, courts, approved service providers), as required by law, or with your explicit consent. All third-party providers, including AI tool providers, are vetted for security/privacy and bound by confidentiality.
- Data Security: We implement comprehensive technical and organizational measures (encryption, access controls, secure networks, audits) to protect your information from unauthorized access, disclosure, alteration, or destruction.
- Your Rights: Depending on applicable privacy laws (e.g., CCPA, GDPR), you may have rights regarding your personal data (e.g., access, correction, deletion, restriction). Contact us to exercise these rights using the contact information provided at the end of this Policy.
- Retention: We retain client files and information as required by law, professional regulations, or as necessary for service provision and dispute resolution.
Third-Party AI Tool Providers
We may engage third-party AI tool providers. We conduct due diligence to ensure these providers adhere to high data security, confidentiality, and privacy standards. Our agreements include provisions to protect your confidential information.

- No Guarantee of Outcome: Our use of AI tools does not guarantee any specific legal outcome. Outcomes depend on case facts, applicable law, and unforeseen circumstances.
- AI Outputs Are Not Legal Advice: Internal AI outputs are not direct legal advice to you. All legal advice provided to you is the result of a qualified human attorney’s professional judgment.
Client Consent & Acknowledgment
By engaging Ashbury Legal PC and signing the Engagement Letter, you acknowledge and agree that:
- You have read and understand our approach to using AI technologies as described in this Policy.
- You consent to our responsible and confidential use of approved AI tools in your legal matters, always under human attorney oversight and safeguards.
- You understand that AI tools enhance services but do not replace the professional judgment and ethical responsibilities of our attorneys.
